These Terms apply to organisation administrators, team members, contractors, and any authorised users within an organisation.

Automate Fire Door Management is a software-as-a-service (SaaS) platform providing tools for:

  • Fire door manufacture, installation, and maintenance management
  • Digital door records and lifecycle tracking
  • QR-based inspection and compliance records
  • Inspections, surveys, and certifications
  • Assembly sheets, RAMS, quotes, and purchase orders
  • Time logging and scheduling
  • Compliance documentation and evidence retention

The Platform assists with compliance but does not replace professional judgment, legal advice, or statutory responsibility. Legal compliance responsibility remains with the organisation and duty holders.

4. User Accounts & Responsibilities

  • Accounts must be created with accurate information
  • Organisation administrators are responsible for managing access, assigning roles, and ensuring users act appropriately
  • Users are responsible for safeguarding login credentials
  • The organisation is responsible for all activity carried out under its account

5. Roles & Permissions

The Platform implements role-based access control (admin vs team member):

  • Certain features, pricing data, procurement, and documents may be restricted to administrators
  • Users may only access features permitted by their assigned role
  • Administrators control what data and functions team members can access

6. Data Accuracy & Compliance Responsibility

Critical compliance section:

  • Users are responsible for the accuracy of data entered into the Platform
  • Inspection results, survey responses, photos, and certificates reflect user input
  • Automate stores and presents data but does not independently verify site conditions

Legal compliance responsibility remains with the organisation and duty holders.

7. QR Codes & Public Records

  • QR codes may provide public access to limited inspection records
  • Public views are read-only
  • Organisations control which records are exposed
  • Automate is not responsible for misuse of QR access links shared externally

8. Fees, Subscriptions & Billing

  • The Service operates on subscription-based pricing
  • Fees are billed in advance unless stated otherwise
  • Failure to pay may result in restricted access, suspension, or termination
  • Plan features may vary by subscription tier
  • Automate may modify pricing with reasonable notice

9. Intellectual Property

The Platform, software, user interface, branding, and generated templates are owned by Automate App Ltd.

Users retain ownership of:

  • Their data
  • Their uploaded files
  • Their generated documents

Users grant Automate a limited licence to process data solely to provide the Service.

10. Acceptable Use

Users must not:

  • Use the Service for unlawful purposes
  • Upload malicious content
  • Attempt to bypass security measures
  • Misuse QR codes
  • Reverse engineer or copy the Platform
  • Share accounts or access credentials inappropriately

11. Availability & Support

  • Service availability is provided on a best-effort basis
  • Planned maintenance may occur with reasonable notice
  • No guarantee of uninterrupted availability
  • Support is provided according to the subscribed plan

12. Termination

User termination:

  • Users may cancel their subscription at any time

Automate may suspend or terminate accounts for:

  • Breach of these Terms
  • Non-payment
  • Misuse of the Platform

Upon termination:

  • Access to the Service ends
  • Data retention follows the Privacy Policy and legal obligations

13. Limitation of Liability

Important legal section:

To the maximum extent permitted under UK law, Automate is not liable for:

  • Indirect or consequential loss
  • Loss of profits
  • Compliance failures caused by inaccurate user input
  • Business interruption
  • Data loss (where reasonable backups were not maintained by the user)

Our liability is limited to the fees paid by the user in the 12 months preceding the claim.

14. Indemnity

Organisations agree to indemnify Automate against claims arising from:

  • Misuse of the Platform
  • Incorrect compliance data
  • Breach of statutory duties
  • Breach of these Terms

15. Changes to the Service or Terms

  • Features and functionality may evolve over time
  • These Terms may be updated from time to time
  • Continued use of the Service constitutes acceptance of updated Terms
  • Material changes will be communicated via email or in-app notification

16. Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with English law.

The courts of England and Wales have exclusive jurisdiction over any disputes arising from these Terms or use of the Service.
